A construction equipment service schedule is the list of checks and oil changes a machine needs, counted in engine running hours rather than in days or kilometres. The common points are every day (about 8 to 10 hours of work), then at 250 hours, 500 hours, 1,000 hours and 2,000 hours on the hour meter, and each of those points has a fixed set of jobs attached to it.

The schedule is not the same for every machine. An excavator has two oil systems to look after. A wheel loader has five. That single difference decides how big your service bill is and how long a service takes, and most first-time buyers only find it out after they have bought.

This guide explains how the hour system works, exactly what falls due at each service point, how many separate oil systems each type of machine carries, and what changes the schedule on Indian sites.

Why is machine service counted in hours and not months?

Because a machine wears out by working, not by sitting. Two backhoe loaders bought on the same day can be a year apart in wear if one runs six hours a day on a canal job and the other runs two hours a day at a builder’s yard.

Every machine has an hour meter, the small counter on the dashboard that most operators call the ghanta meter. It runs only when the engine runs. One hour on that meter is one hour of engine time, and every service interval in the operator’s manual is written against it.

A rough conversion helps when you are planning: a machine working a normal single shift does 8 to 10 hours a day, which is roughly 200 to 250 hours a month. So a 250-hour service comes up about once a month on a busy machine, and about once in three months on a machine that works two hours a day. Never plan services by the calendar. A rented machine on a highway job can cross 250 hours in three weeks.

Two habits protect you here. Photograph the hour meter on the first of every month, and write the reading in a diary next to the date. When a dispute comes up over a warranty claim or a rental bill, that photograph is the only proof anyone accepts.

What do you check on a machine every day?

The daily check is a ten-minute walk around before the first start, and it is the single service point that saves the most money. Everything on the list is free to look at, and every item on it is something that has destroyed an engine or a pump somewhere.

  • Engine oil level. Machine on flat ground, engine off and cold, pull the dipstick. Low oil kills an engine faster than anything else on this list.
  • Coolant level. Check the reserve bottle, never open a hot radiator cap.
  • Hydraulic oil level. The sight glass on the tank, with the machine parked in the position the manual asks for. Hydraulic oil is the oil that drives the arms, the bucket and the travel. It does the work, so its level and its cleanliness matter as much as engine oil.
  • Leaks under the machine. Walk around and look at the ground where it stood overnight. A wet patch is a leak, and a leak is cheap today and expensive next month.
  • Water in the fuel filter. Most machines have a small drain at the bottom of the fuel-water separator. Diesel in India picks up water, especially in the monsoon, and water in an injection pump is a big bill.
  • Grease points. Bucket pins, boom pins, arm pins. On a hard-working machine these want grease every shift, not every week.
  • Air filter warning. If the dashboard shows a restriction warning, deal with it before you start work, not after.
  • Tyres or tracks. Pressure on wheeled machines, track tension and loose bolts on tracked ones. Track wear is covered in the excavator undercarriage guide.

This list is deliberately short. An operator who does it every morning will do it. A twenty-item list gets signed without being read, which is worse than no list at all.

What happens at the 250-hour service?

The 250-hour service is the routine one: engine oil and engine oil filter, plus a set of checks. On most machines sold in India this is the first paid service after the free ones run out, and it repeats every 250 hours for the life of the machine.

What is normally done at 250 hours:

  • Engine oil and engine oil filter changed.
  • Fuel filter and water separator checked, drained, and changed if the interval says so.
  • Air filter cleaned or replaced. On dusty Indian sites this often moves earlier.
  • Battery terminals, belts and hoses inspected.
  • All grease points serviced.
  • Hydraulic oil level and condition checked, though not usually changed.
  • Bolts on the undercarriage or axles checked for tightness.

Engine oil quantity varies a lot by machine size, which is why buying a drum without checking the manual wastes oil or leaves you short. On excavators it tracks size closely: roughly 3 to 7 litres on a mini machine under 7 tonne, 9 to 16 litres at 7 to 15 tonne, and 16 to 25 litres on the common 15 to 25 tonne class. What happens at the 500-hour service?

The 500-hour service is the 250-hour service plus the filters and fluids that last twice as long. It takes longer and costs more, and it is the one most often skipped because the machine feels fine.

Added at 500 hours on most machines:

  • Fuel filters replaced, both primary and secondary where fitted.
  • Hydraulic return filter replaced. This is the filter that keeps grit out of the pump, and it is cheap against a pump.
  • Transmission oil checked, and on many wheeled machines changed.
  • Air filter element replaced rather than cleaned.
  • Cooling system checked properly: radiator fins cleaned out, coolant strength tested.
  • Brakes inspected on wheeled machines.

What happens at 1,000 and 2,000 hours?

These are the big services, and they are where the machine types stop looking alike. At 1,000 hours the axle and transmission oils come due on wheeled machines, and the hydraulic oil itself is tested or changed. At 2,000 hours the hydraulic tank is normally drained and refilled, the suction strainer is cleaned, and the coolant is replaced.

The table below is the usual pattern. Treat it as the shape of the schedule, not as your machine’s schedule — the operator’s manual for your exact model is the only correct source, and intervals differ between makes.

Fluid quantities at the big services are much larger than at a 250-hour service, and that is the part buyers underestimate. How many oil systems does your machine actually have?

This is the question that decides your service bill, and almost nobody asks it before buying. Every separate oil system is a separate oil, a separate filter, a separate interval and a separate labour charge. An excavator has two. A payloader has five.

The table below counts the systems that the machines currently listed actually publish a service capacity for, with the share of machines in each category that list it.

Read that table before you compare two machines on price. A payloader and an excavator of similar size do not cost the same to run, and the difference is not fuel — it is three extra oil systems, each with its own drain, filter and refill every 1,000 hours or so. On a backhoe loader the transmission takes about 16 to 19 litres and the rear axle about 17 litres, on top of the engine oil.

The tracked machines look cheap on this measure for a real reason: a tracked excavator has no gearbox and no axles because hydraulic motors drive the tracks directly. What it has instead is an undercarriage that wears, and that is a parts cost rather than a service cost.

What is the first service on a new machine?

The first service comes early and it is not optional. Most makes call it at 50 to 100 hours, and it exists because a new engine and a new gearbox shed fine metal particles as their parts bed in. That first oil carries the debris out.

Three things matter about it. It is usually free or heavily subsidised, so there is no reason to skip it. It is almost always a warranty condition, and a missed first service is the most common reason a warranty claim gets refused. And it needs a dealer stamp in the service book, not a receipt from a roadside mistri.

Ask the dealer at the time of purchase how many free services are included, at which hour readings, and what each one covers. Get it written on the invoice or the delivery note. Verbal promises about free services do not survive a change of sales staff.

What makes a machine need service sooner?

Manual intervals assume normal conditions. A lot of Indian work is not normal conditions, and the manual itself will usually say to halve the interval in severe use. Five things move the schedule earlier.

  • Dust. Quarry work, crusher yards, dry earthwork in summer. Air filters can need attention weekly rather than at 250 hours. A choked air filter chokes power and burns extra diesel long before it triggers a warning.
  • Heat and heavy load. Continuous rock breaking or trenching in hard soil runs hydraulic oil hot, and hot oil ages faster. Machines on breaker duty commonly run hydraulic oil and filters at half the normal interval.
  • Monsoon and water. Water in fuel, water in grease points, silt packed into the undercarriage. Machines working canals or wet ground need daily washing and daily greasing.
  • Idling. The hour meter counts idle time as engine time, but a machine idling all day wears less than one digging all day. It still needs the oil change, because oil ages by heat and hours either way.
  • Fuel quality. Diesel bought loose in drums brings dirt and water. If that is how you fuel, budget for fuel filters more often and drain the separator daily.

If your site has two of these, plan on the shorter interval and treat the manual figure as a ceiling. Filters, grease and oil are the cheapest items in the whole ownership cost — the parts that fail when you save on them are not. What happens if you skip a service?

Nothing, for a while. That is exactly why skipping is common and why it is expensive. Damage from a missed service shows up hundreds of hours later, when the link back to the cause is no longer obvious.

The usual chain runs like this. Old engine oil loses its ability to carry heat and hold soot, so bearings and the turbo wear. A choked air filter lets the engine pull dirty air, and dust in a cylinder scores the liner. A hydraulic filter left in past its interval goes into bypass, meaning it stops filtering altogether and passes unfiltered oil straight through, and the grit then circulates through the pump and every valve in the machine. A pump does not fail on the day the filter was missed; it fails a year later.

Three costs follow, and only the first is obvious. The repair itself. The days the machine stands idle while a part comes, which on a rented-out machine is lost income every day. And the resale value, because a buyer who sees no service record assumes the worst and prices for it.

How should you keep the service record?

Keep it simple enough that it actually gets kept. A machine’s service file needs four things per service: the date, the hour meter reading, what was done, and who did it. A stamped service book from the dealer covers all four. Where work is done outside, a bill listing the hour reading and the parts changed does the same job.

Add photographs. A photograph of the hour meter, of the old filter, and of the bill takes a minute and settles every later argument — with a dealer over warranty, with a hirer over a rental deduction, or with a buyer over the machine’s history.

This file is worth real money at resale. Anyone buying second-hand checks the service record before the paint, because it is the only evidence of how the machine was treated.
